The Store
Established in 1948; one year in new location. Carries Honda, Kawasaki, Suzuki, Ducati, Aprilia, MV Agusta and KTM. 95 employees. 27,000 sq. ft. Showroom, 5,000 sq. ft. Service Department and 11,000 sq. ft. of storage.

Parts Manager
Scott Rosenthal. Parts Manager for 14 years. Started with the company in 1979 as a lot attendant, then moved to PDI, the Service Department, Parts Shipping, Parts Wholesale, Counter Sales and Assistant Parts Manager.

The Department
Covering 7,500 sq. ft., the Parts Department accounts for 25% of the dealership’s gross sales. 18 employees: assistant parts manager (1), shipping/receiving (2), customer service (1), eBay/Web sales (1), cashiers (3), accessory/parts sales (7 full time, 3 part time).

The Job
Rosenthal schedules staff; reviews daily sales and lost sales reports; reviews and posts previous day sales for all departments; reviews the showfloor and incoming freight; posts and compares daily inventory; meets with vendors; reviews other store issues; and assists customers as needed.

Dealing with Distributors
Fay Myers deals with Tucker Rocky, Parts Unlimited, Fox, Castle, Western Power Sports and O’Neal. “Most of the major distributors have local reps that stop by weekly,” Rosenthal says, “but I feel distributors need to be more liberal in their exchange policies so dealers would stock a larger inventory, eliminating the need for many mail-order companies.

“OEMs basically do not have accessory or parts reps. They may speak to the sales rep a couple of times a year, but that is only if they have an accessory program they are trying to promote with unit sales.”

Layout
Four counters: one, toward the back, for off-road hard parts; a counter for street PG&A; a separate Customer Service counter; and a cashier counter. The Customer Service counter is where customers pick up their special orders and take care of any exchanges or returns. Display updates, as well as stocking, is handled by the staff, which also receives a nightly clean-up checklist.

Management
Rosenthal uses a combination of MIC (Brainstorm) reports and Excel spreadsheets. Brainstorm handles all the invoicing, inventory, accounting, service and sales and F&I functions. “We also use various vendor and OEM programs for digital parts fiche and downloading orders to vendors,” he says. “But it would be nice if all the OEM’s would use the same software vendor so you wouldn’t have to have a different type of software for each manufacture.”
